The Opportunity
The Glendale Glendale-Meadows Community Association (GGMCA) is seeking a Community Rentals
and Hall Coordinator
. This opportunity, reporting to the Board, is for an independent contractor, not
an employee of GGMCA. The contractor will be required on average 6-12 hours per week.
Compensation will be dependant on experience and qualifications of the successful candidate,
however, the GGMCA envisions a base pay plus incentive structure.
Ideal candidates will have a strong customer service orientation, excellent organizational skills,
and the ability to independently manage the rental and coordination of our community hall,
fostering an exceptional experience for all stakeholders.

What You’ll do
As an independent contractor, you will:
• Manage the booking and coordination of event spaces, ensuring a seamless and high-quality
experience from initial inquiry through post-event follow-up.
• Provide excellent customer service, responding promptly to inquiries and efficiently
managing event agreements, deposits, and payments.
• Conduct tours, promoting the venue to potential clients, and highlighting the benefits of our
facilities.
• Utilize scheduling software to manage the event calendar, coordinating all aspects of room
use and facility rentals.
• Maintain autonomy in managing your schedule, including the flexibility to work off-site and
accommodate evening and weekend showings.
Other duties include booking cleaners, ordering supplies, coordinating hall users and maintenance
contractors, and light cleaning.

Minimum Qualifications
• Proven experience in either event coordination, facility rentals, or administration.
• Outstanding organizational skills and excellent communication skills.
• Familiarity with scheduling software and proficiency in Microsoft Office and Google
applications.
• Must possess a valid driver’s license.
• Must possess, or be willing to procure, necessary technology (laptop/tablet) for the
fulfillment of duties.

• Personable, outgoing, and customer service-oriented individual who builds positive
relationships with clients.
• Flexible, detail-oriented, and deadline-driven.
• Resourcefulness and ability to manage last minute client requests is essential.
• Demonstrate a genuine interest in learning and promoting the Glendale Community
Association.
• Familiarity with City of Calgary Community Associations and the Federation of Calgary
Communities.

Work Environment & Physical Demands
• This contract allows for a flexible work arrangement, including off-site and on-site
obligations as needed for event showings, maintenance, and inspections.
• Physical requirements include a combination of seated, standing, and walking activities, with
occasional lifting and carrying of items up to 30 lbs.

Contractual Terms
This is a contract for services; the selected individual will operate as an independent contractor, not
as an employee of GGMCA. The contractor will be responsible for their own work tools, equipment,
and any applicable taxes or business expenses. The agreement will specify deliverables,
compensation, and the term of the contract, subject to renewal based on performance and mutual
agreement.

About Us
The Glendale/Glendale Meadows Community Association is a volunteer-led organization committed
to connecting residents through events, programs, and stewardship of community assets. We
manage a variety of public amenities and recently completed a significant renovation of our
community hall.
